Faculty who wish to communicate via email with their class have several different options. Course rosters with emails are available from KnightWeb and Canvas for one-button messaging or extraction of the data for use on your own computer.

Canvas

Utilizing the Learning Management System (Canvas) is the recommended method of communicating with your class. The following guides will assist you:

Custom Class Roster

Custom Class Roster is a KnightWeb-based Roster utility. With it, you can request a Google Group to be created/updated with a class roster, or create customized class rosters to view or download.

How do I use it?

  1. Sign on to myGeneseo (http://my.geneseo.edu) using your email / Windows Login ID and Password and click on the Login button.
  2. Click on the KnightWeb link.
  3. Select "Faculty Menu", then "Custom Class Roster".
  4. You will be prompted to select the Term and CRN.
  5. Then, you will be presented with the Custom Class Roster form. You can create the Roster as a download-able Excel "csv" (Comma Separated Value) file, or display it as a web page in your browser.
    1. You can also check the box to have a Google Group created/updated for that class' current roster. Please see the next section for more information on this feature.

How does the mailing list feature work?

  1. When you click "Create Class Roster" with the mailing list box checked, that course's current roster is saved to CIT's mail server.
  2. Every hour, on the hour, the roster files saved on our mail server are automatically processed:
    1. If the course does not yet have a Google Group, one is created.
    2. All students in the roster file on the server are added to the Google Group.
    3. An automated email is sent to the instructor informing them that their Google Group has been created/updated.

 

Instructions on how to name and save the download file are on the form. There are 14 customizable fields you can include on your roster: CRN, Subject, Course Number, Section Number, Student ID, Student Name, Term, Confidentiality Indicator, Level, Email Address, Degree, Major, Program, and Class Year. At the bottom of the form are check boxes to save your customized format for future use. 

When is the roster data updated?
As the data comes directly from the Banner system database, it is always current. To create a new roster, sign onto KnightWeb and select Custom Class Roster again. If you request a Google Group, it should be created/updated and you should receive an automated email notification of completion within 1 hour of submission.

Who has access to Custom Class Roster data?

This application allows only the instructor(s) on record to access the roster data. If the class instructor is listed as "STAFF" or "TBA", the Records Office must update the class records.

KnightWeb

If you do not use an email program (Thunderbird, Mac Mail, etc.), you can configure Chrome to send messages from KnightWeb.

Sending an email via KnightWeb

Faculty can send messages to their classes from the KnightWeb Secure area. Department chairs and secretaries have the ability to email any class in the department to send announcements regarding class cancellations or changes.

  • Log into KnightWeb Secure area
  • Click on "Faculty Menu"
  • Click on "Summary Class List"
    • select a Term
    • select CRN (multiple sections or classes must be emailed separately. classes with over 100 students will have multiple "Email class" buttons)
    • Each student may be emailed individually, or you can Email the class
       
    • Your computer will launch an email program (Thunderbird, Mac Mail, etc.) to compose the message

If you're not using an email program...

  1. Go to http://gmail.geneseo.edu in Chrome and login.
  2. When you open Gmail in Chrome, a Protocol Handler icon (double diamond) should appear to the left of the star (bookmarks) icon in the upper right hand corner of the URL bar.
     
  3. Click it to show the following: Allow mail.google.com to open all email links?
  4. Click on the circle next to "Allow". Then click on the Done button.

Alternate Instructions to modify Protocol Handler settings after first setup

  1. Click the Chrome menu (3 vertical dots) on upper right hand corner of the browser toolbar.
  2. Select Settings.
  3. Click on Show advanced settings...
  4. In the "Privacy" section, click Content settings...
  5. In the dialog that appears, find the “Handlers” section.
  6. Click on the Manage Handlers... button.
  7. Next to "mailto:" under "Site;" click on 'mail.google.com'. Then click on the 'Done' button.

If you are not able to contact your class(es) personally

Department Chairs and Academic Secretaries are able to contact your classes via a custom application in Argos. To use the Class List application, visit http://go.geneseo.edu/secretaryclasslist
