The Navigate platform for advisors, staff and others has the goal of helping students explore a path to timely graduation completion with data, services, and supportive connections. Use this Quick Start Guide to make the most of your experience.

Configure Availability and Calendar for Appointment Scheduling

Perform These Key Actions to Identify, Communicate With, and Support Students

  • Reference the Student Profile – After clicking on a student’s name through the search results, your Staff Home, or the Quick Search, note their academic progress and any areas of concern with the various tabs on a student’s profile
  • Add Notes or Advising Summary Reports – Record your interactions and follow-ups from student meetings by adding an Advising Summary Report (record associated with an appointment) or a Note (general record not associated with a specific meeting)
    • Both are accomplished through the ‘Actions’ menu on your Staff home or search results, or from a student’s profile.
    • Reminder! For scheduled appointments, add summary reports from the “Upcoming Appointments” tab of the staff home.
  • Mass Email a Group of Students – Use ‘Send a Message’ from the ‘Actions’ drop-down to contact your Assigned Advisees list or other lists you’ve created in the platform.
  • Create an Appointment Campaign - Use this to invite students set up an advising appointment during times you have designated 

As a new user, the first thing you need to do is set up availability so that students can schedule appointments to see you. It is important to note that locations and services are created by university administrators.

  1. Log into EAB Navigate with your Geneseo credentials
  2. Click on the My Availability tab on the home page
  3. Click on the triangle to the right of Actions and select Add Time
    1. Select the days and times when you are available to meet with students
    2. Select A Range of Dates for the advising appointments. 
    3. Check the box to add this availability to your personal availability link. This will make sharing your office hours with students easy!
    4. Type of availability: Appointments and/or Drop-ins
    5. Care Unit: Faculty
    6. Location: Virtual Meeting or Faculty Office
    7. Services: Faculty Office Hours
    8. To create your Personal Availability Link (PAL), check the box.
    9. URL: Leave blank.
    10. Special Instructions: See above for recommendations, including how to locate your office or link to Zoom meeting. Shared with the student upon making the appointment.
    11. Click Save
  4. Note that your new availability will be marked "Upcoming" if the dates have not begun

The availability you set up within Navigate dictates students’ ability to schedule appointments with you. You have the added option to integrate your Google calendar with the Navigate platform to pull in Free/Busy times from your personal calendar and push appointments scheduled in Navigate to your personal calendar.

  1. Click on the Calendar Icon on the left side toolbar (third icon from the top).
  2. Click “Settings and Sync” in the upper right-hand corner
  3. Click “Setup Sync...”

You can now sync your calendar by clicking the “Google Calendar” button. You will be prompted to complete the sync from your Gmail account confirming your request to sync. Click “Allow”. You will then be relocated back to Navigate. Click on the drop down for “calendar for two-way sync” and select your Gmail address. Finally, click the “Save and Update” button. This should complete your calendar sync. Please log into Gmail to view your calendar and compare it against the calendar within Navigate. The Two-Way Sync will enable that any agenda item created from the platform will sync back to your Google Calendar. All existing events and events that are created from Google Calendar will be shown as ‘Busy.’

  1. Click on Appointment Campaigns in the Quick Links box (right column)
  2. Click on + Add New 
  3. Define your new Appointment Campaign
    1. Campaign Name: yourname Fall 2022 Registration Campaign
    2. Care Unit: Faculty
    3. Location: Video or Faculty Office
    4. Service: Faculty Advisor Appointment
    5. Appointment Limit: This number represents the number of appointments a student may schedule with you.
    6. Appointment Length: Use your discretion. Tip: add 5 minutes to your planned time to give you a few minutes between each student!
    7. Slots per Time: 1 This is the number of appointments per time slot – using 1 ensures private meetings with each student.
    8. Allow scheduling over courses: Recommended to not allow
    9. Reminders: select defaults for appointment reminders
    10. Begin Date / End Date: Use your discretion for these dates. Give students a few weeks prior to the start of your availability (above) to allow them time to sign up.
    11. Click Continue
  4. Add Students to Campaign
    1. Select My Students Only next to the Search button to add all of your advisees. or 
    2. Use the Advanced Search. 
      1. Scroll down to Assigned To row.
      2. Click menu and select students that have an Advisor role to you. (Select your name from list) 
      3. Click Search
      4. Review list of students that appear in search results. Some faculty may have students assigned to them other than advisees. Select ALL or some. 
      5. Click Continue
    3. Review selected students and click Continue
  5. Select Staff for the Campaign
    1. Your name will appear with the availability you set in the first section. If your name does not appear, please contact Celia Easton or Laurie Fox for assistance.
    2. Select your name, click Continue
  6. Nudges think of these as the email that goes to your students
    1. Click the Add Nudge button
    2. Please do not use the default!!
    3. Avoid changing the auto-generated links or field designations (e.g. student's name)
    4. Sign your name
    5. Preview the email
    6. Select the send date
    7. Click Continue
  7. Add additional nudges if you desire. You may also add a "Success Message" when your students schedule an appointment.
  8. Verify and Start you Campaign
    1. Click Start Campaign
